Job Description: Events Coordinator

Overview:

The Events Coordinator is responsible for booking and managing Greenlight Bookstore’s literary programming, focused on author events and also including book clubs, special events, and other live experiences. Whether events take place in the bookstore spaces, at offsite venues, or online, the Events Coordinator directs all aspects of programming, with attention to the details that make for excellent experiences for all involved. The Events Coordinator maintains and develops relationships with publishers, publicists, authors, and venues to book and host events that contribute to Greenlight’s communities, build the bookstore’s customer base, and lead to book sales.  

Summary of Responsibilities include: 

  •     Work with publicists and authors to book literary events that resonate with the store’s audiences and highlight important and interesting creators
  •     Serve as point person for all event requests, and develop and maintain Greenlight’s booking policies and calendar
  •     Maintain and develop schedules for confirming, planning, publicizing, and hosting events, including managing staffing, inventory, logistics, and reporting
  •     Host events as needed, and develop and maintain training and procedures documents to train additional event hosts
  •     Meet with publishers regularly to maintain relationships and develop new programs
  •     Review and submit Edelweiss tour grid requests in a timely manner
  •     Maintain up-to-date data on event attendance and sales, and analyze data regularly to identify trends and areas for improvement
  •     Work closely with the Marketing Coordinator to ensure information about events programming is communicated to media and customers and updated as needed
  •     Work closely with the Events & Marketing Manager to coordinate event logistics across departments and ensure that events align with Greenlight’s mission
  •     Work with the Buying department and bookstore managers to ensure that all event-related books are ordered, received and displayed
  •     Assist as needed with special projects such as school author events and book fairs, bundled and ticketed events, and offsite and partnered events

Qualifications:

  •     Experience with booking and hosting live events, including managing a calendar, creating pitches and fielding queries, working with talent, and tracking and analyzing data
  •     Familiarity with the book industry, including knowledge of contemporary literature and basic understanding of publishing and independent bookstores
  •     Strong communication and problem-solving skills
  •     Ability to work closely with others in a small team and to coordinate with others across departments 


Direct Supervisor: 
Events & Marketing Manager

Schedule: Average 40 hours per week, divided between administrative / office time and event hosting shifts as needed.

Compensation: This is a salaried position starting at $40,000 annually; compensation commensurate with experience. This is a union position.

Review: All employees are given an annual performance review to assess their work in their position. Ongoing check-ins happen at the discretion of the direct supervisor.

Founded in October 2009, Greenlight Bookstore is a general independent bookstore in Brooklyn, New York, encompassing two bookstore locations, a stationery store, theater kiosks and pop-up locations at events throughout the city.
